How to Prepare Your Company for Oilfield Requests for Quotation in Eastern Venezuela
A useful supplier registration is not about uploading the largest possible document package. It begins with a precise description of what the company can execute, where it can operate and which resources are genuinely available. The supporting file can then be requested privately when a compatible requirement appears.

Define exactly what your company can deliver
Procurement teams need to distinguish a real operating capability from a broad list of services. State the specific service, equipment, crew or material you can provide. If the company offers vacuum transport, indicate unit type, capacity, operating base and whether drivers and hoses are included. If it performs welding or civil works, describe the available crews, machinery and supervision.
Select every relevant category, but avoid marking services that depend entirely on an unidentified third party. A clear and credible scope makes it easier to match the company with a request for quotation and reduces unnecessary follow-up.
Make location and availability verifiable
For work in Anzoátegui and Monagas, location affects mobilization time, cost and operating continuity. Identify the city and state from which resources would move, the areas the company can cover and any lead time needed before deployment.
Availability should be confirmed again for each request. Registration records general capacity; it does not reserve equipment, crews or materials. When responding to an RFQ, distinguish between resources currently available, resources committed elsewhere and resources that require mobilization or preparation.
Prepare the verification file for a later stage
The initial ESOL registration is deliberately short and does not require document uploads. Companies should nevertheless organize their records in advance. A subsequent review may request corporate and tax records, authorized representatives, banking details, references, equipment ownership or control, insurance, maintenance and inspection evidence, personnel credentials, and environmental or HSE documentation relevant to the service.
Documents should be current, consistent and shared only through the private channel indicated by ESOL. A company is not considered verified merely because it completed the public form. Verification is a separate human review tied to the applicable service and project requirements.
Understand the difference between registration, verification and award
Registration allows ESOL to identify and contact a potential supplier. Capacity review determines whether the declared service appears relevant. Document verification examines the supporting evidence. An RFQ asks for a commercial and technical response to a defined need. None of these stages, by itself, represents a contract or award.
This separation protects both parties. It avoids promising work before a client requirement exists and allows each opportunity to be evaluated according to scope, availability, HSE conditions, price, schedule and end-client requirements.
Respond to each RFQ with commercial clarity
A strong quotation identifies what is included, what is excluded, the unit of measurement, rate, taxes, mobilization, validity period, payment assumptions, start date and required client inputs. Technical limits and HSE conditions should be visible rather than left for later discussion.
Use the same company name and contact details throughout the quotation and supporting records. Answer within the requested time, but do not confirm capacity that has not been checked. A precise response builds a more useful supplier record than an unrealistically broad offer.

Frequently asked questions
01Is registration in the ESOL supplier registry free?
Yes. Initial registration is free and is designed to take approximately two minutes. It does not require an initial document upload and does not guarantee requests for quotation, awards or contracts.
02Does submitting the form make my company a verified supplier?
No. Submission creates a supplier record for review. Verification is a later stage and may require corporate, technical, HSE, equipment, personnel and reference documents relevant to a compatible requirement.
03Which companies should register?
Companies and contractors with operating capacity relevant to oilfield and industrial projects in Anzoátegui or Monagas may register. The registry covers transport, machinery, construction, welding, technical services, materials, logistics and general support services.
